01  The problem

You don't need another tool

Most small businesses and nonprofits I work with don't have a software problem. They have a connection problem.

The tools are already paid for. QuickBooks, HubSpot, Google Workspace, Canva. They just don't talk to each other, and the owner is the glue.

That's what's changed in 2026. AI agents now plug straight into the tools you already use. Instead of copying numbers from one app into a chat window, you connect the app once and ask for the job: close the month, chase the invoices, tell me which leads went cold.

AI only works as well as the systems under it. If your data is messy, the agent will be confidently wrong, faster.

02  Claude for Small Business

What it is

Claude for Small Business is a plugin that puts Claude to work inside the tools a business already runs on. It launched in May 2026 with 15 workflows. On September 15, 2026, Anthropic expanded it to 43 workflows and added 27 new integrations. It has been installed more than 900,000 times.

Three moving parts
  • Connectors link Claude to your apps: QuickBooks, Xero, Gusto, HubSpot, Salesforce, Shopify, Square, Stripe, Canva, Google Workspace, Microsoft 365, Zapier, TikTok, monday.com and more.
  • Skills are saved instructions for a specific job, like closing the month or writing a proposal. You can edit them to match how your business actually works.
  • Workflows chain skills and connectors into a full job you can run once or put on a schedule.

Cost

No extra charge on any paid Claude plan. Team plan recommended once more than one person uses it. You still pay for your own tools.

Control

Every workflow starts in approval mode. Payroll stops short and leaves the final submit to you. Existing permissions carry over.

No connectors yet?

Most workflows run from uploaded spreadsheets, statements or forwarded emails. A good way to test first.

What it looks like in practice

The September release was built around what 1,000+ owners asked for on Anthropic's spring tour. About a third wanted help growing: leads, inbound replies and proposals. Many also wanted daily reporting off their plate. These are the workflows I see fit small businesses and nonprofits most often.

Results are owner stories Anthropic published with the September release. Your mileage depends on how clean your data is going in.

04  Skill Gap Finder

Which workflows fit you

43 workflows is a lot. Most owners open the list, feel behind, and close it. So I built the Skill Gap Finder, a free quiz that matches your business to the handful of workflows worth turning on first.

01

Who you are

Small business or nonprofit, and what you do.

02

What's in your stack

11 categories and about 35 tools, from QuickBooks and Gusto to HubSpot and Canva.

03

What's hurting

24 everyday challenges, like leads going cold or reports eating your Friday.

Then it gives you a plan. Matches are grouped by cadence (daily, weekly, monthly, quarterly, as-needed) so you can see what a normal week with Claude looks like. Each match gets a card: what the workflow is best at, why it matched your answers, and which of your tools it plugs into. It opens with the requests owners raised most (leads, inbound replies, proposals and daily reporting) and the real results behind each.

The quiz is a gap finder, not a shopping list. If your matches lean on a tool you don't have connected, or on data that lives in five spreadsheets, that's the gap. That's usually where the real work is.

05  Meta Muse for Small Business

The same idea, a different home base

Meta took the same approach two weeks after Claude's expansion. Muse for Small Business launched September 29, 2026. It extends Muse, the personal AI agent Meta released in the US and Canada on September 8.

The pitch is familiar. Connect the tools you already use, give it a goal, and it does the work. What's different is where it starts. Muse plugs straight into your Instagram professional account analytics, Facebook Pages and Meta ad accounts. So it already knows what you sell, how your brand sounds, and what customers keep asking.

What it connects to

Asana, Box, Canva, Dropbox, Figma, Granola, HighLevel, QuickBooks, Klaviyo, Lovable, Notion, Shopify, Slack, Stripe and Zoom. You can also build custom connectors for anything not on the list.

What owners use it for
  • A growth plan built from this year's sales, campaigns and social activity
  • Triage when you're underwater: what in your email and calendar needs you, and what it can take off your plate
  • Ad and content review, plus a drafted campaign for next week based on what's trending
  • A monthly financial check that flags expenses that look off
  • Simple custom tools, like a booking page or inventory tracker, built through Lovable

It also works proactively, flagging emails that need a reply and writing first drafts.

Cost

Free for most uses, with paid plans for heavier use. MediaPost reported plans run up to $100 a month.

Control

Nothing publishes, sends or spends without your approval. Same principle as Claude.

The honest question

Are you comfortable connecting your books, customer records and ad accounts? Who on your team should have access? Decide before you click connect.

06  Side by side

Which one fits

Short version: Claude for Small Business is stronger in the back office (books, payroll, proposals, CRM). Muse is stronger where your business lives on Instagram, Facebook and Meta ads. Plenty of businesses will use both.

My rule of thumb

Books, payroll or proposals?

Start with Claude.

Customers find you on Instagram or Facebook ads?

Try Muse for the marketing side.

Nonprofits

Claude for reporting, donor follow-up and grant work. Muse if social drives donations or volunteers.

The tool is not the strategy. Both agents will happily automate a broken process.

07  Where to start

Five steps, in order

  1. 01

Take the Skill Gap Finder. It takes a few minutes. You'll see which workflows match your stack and your pain points.

  2. 02

Pick one workflow, not ten. The Monday Brief is the easiest win for most businesses. Close the Month is the biggest time saver if you do your own books.

  3. 03

Run it on uploaded files first. Both tools work without connecting anything. Check the output against what you know is true.

  4. 04

Then connect one tool at a time. Keep approval mode on until you trust the results.

  5. 05

Watch where it breaks. If the brief is wrong, your data is probably wrong. That's the gap worth fixing.

Let's find your gaps together

I run 1:1 setup sessions where we connect your tools and turn on your first workflows live, together. If the quiz turns up more gaps than an hour can cover, my Systems Reality Check is built for exactly that.
